Service Overview

Wrekin Housing Group is a Community Benefit Society that provides housing and care services across Shropshire and Staffordshire. Now one of the largest social housing providers in the West Midlands, they provide over 13,000 homes for affordable rent and low cost home ownership.

In 2022, Wrekin tendered their cleaning contract in various Lots:

  • Lot 1 – Voids: The successful bidder appointed to Lot 1 was Prime Facility Services with a score of 71.32%.
  • Lot 2 – Retirement and Shire Living: The successful bidder appointed to Lot 2 was Prime Facility Services with a score of 90.47%.
  • Lot 3 – Communal Blocks and Commercial Properties: The successful bidder appointed to Lot 3 was Prime Facility Services with a score of 89.99%.

Since securing the main contract we have also been asked to provide one off deep cleans, carpet cleans and kitchen deep cleans.

Services Provided

Prime Facility Services has constructed a detailed annual work delivery plan which lists the frequency of operation against each specific task. Prior to the due date, the relevant tasks are deployed to our operator’s mobile devices. The local Special Works Team leader from Prime will inspect the outputs to ensure the work is being completed to the right standards of quality and safety. Quality reports are then fed back to Muller which forms part of the monthly service review.

Prime now deliver, manage and inspect the following services on this site;

  • Grass Cutting, Maintenance, Edging and Trimming
  • Control of Leaves and Fouling
  • Weed Control of Grassed Areas
  • Weed, Algae and Moss Control in Soft and Hard Landscaped Areas
  • Maintenance of Planted Areas
  • Hedge, Shrub and Rose Maintenance.
  • Spring & Summer Bedding Plants

What problems did Wrekin Housing Group face?

The incumbent national contractor had no local base and were unconnected to the local economy, people and environment.

They were unable to cope with the volume and short notice periods of void cleans and had no automatic real-time booking system, leading to poor and inconsistent standards of quality.

This poor operational management resulted in low morale and motivation across the team of 32 staff.

Training and development were weak and difficult to access, and there was a need for a modernised system to monitor quality, time, and attendance.

What did Prime achieve?

As a local, owner-managed business, Prime were able to provide all staff with a local support team including HR, Payroll, H&S and Operations. Our dedicated, full-time Training Manager trained (and re-trained) all staff to BICSc standards either in the field or at the Telford unit, which has resulted in higher morale and sense of pride amongst the team who transferred over.

Our client now benefits from sufficient personnel to cope with void cleaning, and all cleans are of a higher standard (as evidenced by instant digital “Go Audit” reports).

Finally, we facilitated a fully automated Office 365 booking system for void cleans, and a new app-based time and attendance system called “U Attend” to help improve productivity, automate payroll and provide Wrekin with GPS feedback and an audit trail.
